School Author Visit Checklist: Reading, Timing and Pickup

A school author visit works best when the writer and the school agree on one achievable reading activity. Start with the book, the age group and the time available, then plan how the session ends. This checklist is for authors preparing a visit and for families attending an after-school reading.

Agree the brief with one school contact

Ask your contact to confirm the audience, group size, room, session length and the teacher who will remain responsible for the pupils. Choose an extract that makes sense without the rest of the book. A short reading followed by one activity is easier to adapt than a presentation that depends on finishing every slide.

Confirm practical details in writing: arrival time, visitor sign-in, accessibility needs, available equipment and how questions will be handled. The school decides its visitor, photography and supervision arrangements. An author's booking confirmation does not replace those procedures.

Give the session a simple shape

• Opening: introduce the central character or question without revealing the ending.
• Reading: choose a passage with a clear change, discovery or decision.
• Participation: ask pupils to suggest a different choice or write a few lines from another character's perspective.
• Finish: leave time for questions and tell readers where to find the book through the school or library.

Bring a version that works without a projector. Agree whether book sales or signings are allowed and keep that activity separate from the teaching session. Do not ask children to supply personal contact details to receive a sample chapter.

Send families a clear event note

For an after-school session, a family needs more than the start time. Include the expected finish, collection point, whether an adult must attend, how to notify the school of a change and which school contact handles questions. Make clear who supervises children between the end of class and the start of the reading.

Example to adapt: “The reading takes place at [room] from [start] to [finish]. [School contact] will confirm supervision and collection arrangements. Please use [school channel] for any change to your child's normal plan.”

Only the school can confirm its arrangements. An author should not promise that a pupil can leave independently or with a different collector.

Keep the journey home separate from the event register

Parents and children can agree a call or message when leaving or arriving home, subject to school phone rules. Test the setup together before relying on it during a changed afternoon routine.

An alert concerns a phone's reported location; it is not a school attendance record or permission to release a child. A delayed notification should lead to the family's agreed contact steps. The school's collection procedure still applies.

Follow up with a reading activity

Send the teacher the promised extract or exercise and any usage permission needed to share it. Ask which part of the session held readers' attention. Use that feedback to improve the next visit, without presenting pupils' private work or photographs as marketing material unless the school's applicable process allows it.
